Registration terms and conditions

Please read these terms carefully and check the visa information page before registering.

The Global Evidence Summit 2024 is organised by The Cochrane Collaboration, a company limited by guarantee and charity registered in England and Wales with company number 03044323 and charity number 1045921, whose registered office address is 11-13 Cavendish Square, London, England, W1G 0AN, in collaboration with JBI, Guidelines International Network and The Campbell Collaboration (“Organising Partners”).

Individual bookings

If you are booking for an individual and paying online by card, you will need to click on the ‘Register’ button on the website, create an EventsAir account (events management platform), complete the registration form and pay online – see further details on online payments below. If you are booking for an individual but need to pay by bank transfer, please contact registration@globalevidencesummit.org and you will be sent a separate registration link – see further details on bank transfer payments below.

Group bookings

To book a group registration:
•    The person booking on behalf of the group will need to email registration@globalevidencesummit.org to request a group booking link. 
•    The person making the booking will have to provide contact details for all delegates within their group and make the payment by card or bank transfer. The person making the booking is responsible for obtaining all necessary consents under data protection laws before sharing any personal data. 
•    Once the group is registered, each individual will receive their own confirmation email and will get a standard conference badge upon arrival.

Payments 

Payments will be collected and managed by Cochrane’s professional conference organiser, TFI Lodestar Limited (“TFI”), a private limited company registered in England and Wales with company number 01845643, whose registered office address is at 24 Patcham Terrace, Battersea Exchange, London, England, SW8 4EY. When paying the registration fees, you will be responsible for paying any bank charges or other similar charges which are applicable.

1) On-line payment

On completion of a registration form within EventsAir, you will be asked to make an online payment by card. All fees should be paid in EUR (€). 

All online payments are processed through the Axcess Payment Gateway who comply with international standards and meet the strictest security requirements. Axcess will handle all online transactions securely to meet PCI Level Certification standards.

If your online payment is rejected, you are recommended to log in to the registration form in EventsAir again and try to complete the registration and payment process again. Should the trouble with the payment persist, you are recommended to contact the credit/debit card issuer/bank first and check if online transactions are disabled on the credit/debit card. If you are still unable to pay after contacting the credit/debit card issuer/bank, please contact registration@globalevidencesummit.org

2) By bank transfer

If you need to pay by bank transfer, please note that you will incur an additional administrative charge of €25. To pay by bank transfer, please contact registration@globalevidencesummit.org and you will be sent a separate registration link. At the end of the registration form you will be able to select 'pay later' - please click this to complete your registration. You will then receive an automated registration confirmation email that will have an invoice as an attachment. Please make the payment using the bank details on the invoice within two weeks to secure your registration. If you do not receive a confirmation email, please email registration@globalevidencesummit.org

What’s included in your registration:

Full registration includes:
•    Name badge
•    One ticket to the Welcome reception on the 10 September 2024
•    One ticket to the social evening on the 12 September 2024
•    Access to all scientific sessions from the 10 - 13 September 2024
•    Lunch and refreshments from the 10 - 13 September 2024

Day registration includes:
•    Name Badge
•    Access to scientific sessions on the day of registration
•    Lunch and refreshments on the day of registration

Please note that Tuesday day registrations include one ticket to the Welcome reception on the 10 September 2024

Please note:
•    Only registered delegates are permitted to attend GES 2024.
•    Day registration is available for all days of GES 2024, but each delegate may only register for up to two-day registrations.
•    Daytime refreshments and lunches are solely for delegates.
•    Unless specifically stated otherwise, registrations do not include entry to any of the social events taking place alongside GES 2024.

The GES 2024 programme overview is provisional, and the programme will not be finalised until closer to the event.

Cancellation conditions

Any requests for amendments to and/or cancellations of your registration must be notified in writing to the PCO by emailing registration@globalevidencesummit.org

If you submit a request to cancel your registration before or on 13 August 2024, your registration fee will be refunded, minus an administrative fee of €25. If you submit a cancellation request after 13 August 2024, you will not receive a refund of the registration fee, regardless of the reason for the cancellation. 

If for any reason outside of Cochrane’s reasonable control GES 2024 cannot take place, registered delegates will be refunded the registration fee.

Dietary and access requirements

If you confirm in the registration form that you have any dietary or access requirements or similar, the PCO may need to contact you to request further details about your requirements. If you do not respond to the PCO, then the PCO may be unable to fulfil your specific requirements.

What precautions will be in place for COVID 19?

The health and safety of all our delegates is our highest priority and we wish to ensure that all those attending can do so in a COVID safe environment. We are working closely with the event venue to deliver this but should you have any specific concerns, please get in touch with us on registration@globalevidencesummit.org.

Privacy Policy

Any personal data collected about you when you register for GES 2024 will be processed in accordance with our Privacy Policy.

Photos and Recordings

Delegates at GES 2024 may be photographed, filmed and/or otherwise recorded during the event and these photos and recordings may be retained and incorporated into online material or otherwise used for promotional purposes by Cochrane and the other Organising Partners. If you do not want any photos or recordings of you to be used in this way, please email registration@globalevidencesummit.org.

Intellectual Property

All intellectual property rights in materials provided to you during or in connection with GES 2024 (including but not limited to any notes, slides or articles) are the property of Cochrane, the PCO, another Organising Partner or the relevant presenters or exhibitors. Registering for and/or attending GES 2024 does not grant you any rights in or to such materials. 

Liability

Nothing in these terms shall limit or exclude Cochrane’s liability for death or personal injury caused by Cochrane’s negligence or any other liability which legally cannot be limited or excluded.

The liability of Cochrane in the event of cancellation of the Global Evidence Summit 2024 is limited to the value of any refunds due under these terms and Cochrane shall not be liable for any other loss, cost or expense incurred by delegates or their organisations arising from or in connection with the cancellation. Delegates or their organisations are advised to take out comprehensive insurance, including travel insurance.

Cochrane will not be liable for any indirect or consequential losses, costs or expenses incurred by delegates or their organisations arising from or in connection with the Global Evidence Summit 2024.  Cochrane will not be liable for any delay or failure in performing any of its obligations arising from or in connection with the Global Evidence Summit 2024 if such delay or failure is due to any reason outside of Cochrane’s reasonable control. 

Cochrane’s total aggregate liability to any delegates or organisations who submit registrations is limited to the total value of any registration fees paid by the relevant delegate or organisation.

Cochrane will use reasonable endeavours to ensure that up-to-date, accurate information is presented at the Global Evidence Summit 2024. However, Cochrane provides no guarantee that any particular individual will appear as a speaker or panellist at the Global Evidence Summit 2024, provides no guarantee about the accuracy of the information presented at the Global Evidence Summit 2024 and will not be liable for any losses, costs or expenses arising from or in connection with any reliance on such information.

Cochrane or the PCO may arrange group bookings of social activities for GES 2024 delegates. If these social activities are operated by third parties, Cochrane and the PCO shall have no liability arising out of or in connection with the provision of those social activities. 

General

You must comply with the terms and conditions of the GES 2024 venue and any other requirements of the venue, including any health and safety requirements.

If a court invalidates part of these terms, the rest will still apply. If a court or other authority decides that some of these terms are unlawful, the rest will continue to apply.

Even if Cochrane delays in enforcing this contract, Cochrane can still enforce it later. Cochrane might not immediately contact you regarding you not doing something you are required to do (such as paying your registration fee on time), or you doing something you are not allowed to, but that doesn’t mean Cochrane can't do so later.

These terms shall not be enforceable by a third party as defined in the Contracts (Rights of Third Parties) Act 1999.

These terms are governed by English law and subject to the exclusive jurisdiction of the English courts, save that, if you are a consumer (under consumer laws), you will benefit from any mandatory provisions of the law of the country in which you are resident and nothing in these terms affects your rights as a consumer to rely on such mandatory provisions of local law.
